Minutes
Present: Matt Ball (Chair-Elect), Winston Barham, Kay Buchanan, Leland Deeds (Chair), Mary Prendergast (Secretary)
1. Review of 2006/07 activities:
- Budget: Budget is nearly spent, with the exception of the Art Jackson Power of Cultural Competency sessions scheduled for May 30. There will be three of these, one library-oriented; one with several spots held for library staff; one for staff from the office of the Dean of Students.
- Hiring: All agreed that recent revisions to the candidate interview questions and group meeting time to review candidate’s responses have led to a better understanding of MIC’s role in hiring and greater engagement with the faculty search process.
- Committee organization: For the future, refinements could be made to the subcommittee structure, allowing for groups to attain greater autonomy and take full ownership of their specific charges.
- New Employees’ Lunch: Winston reported success with the program, which is expected to continue, given adequate funding for the coming year.
- Events: These were not as plentiful as in some years, but all were well-attended and carried off successfully. Mary suggested creating an events manual to help MIC members deal with planning and carrying out events.
2. Ideas for upcoming events:
- Revisit the Japanese tea ceremony?
- Plan an event related to the symposium planned by the Vice-President for Diversity and Equity’s office; this year the focus will be on health issues and Health Sciences will host.
- The group discussed opportunities to partner with the Dean of Students and Office of African-American Affairs (OAAA) on events during special observance months, such as Latino/Hispanic Heritage month in September; African American History Month in February, Asian/Pacific American Month in April. An event with the LGBT Resource Center could be planned for October.
- MIC will continue to solicit proposals from MIC members and other library staff.
3. The group briefly discussed the Upward Bound high-school intern program, the Diversity Intern program, and the role of the Diversity Team.

1. Budget: MIC budget for 2006/07 is $10,000; $2,300 is spent; Leland will investigate the expenditure and report back.
2. Volunteers: The group welcomed new member Madelyn Wessel.
3. Ideas for upcoming events: In response to Leland’s request for ideas for programming, the following were received:
- More music!
- Another book talk, similar to the one done by Carlos Aires
- A talk on “what is multiculturalism”, with representatives from various viewpoints, with a moderator. Leland will investigate the feasibility of this.
- West African griot music & culture: Bruce Penner submitted a proposal for a session by himself and ChCheick Hamala Diabate, in which the group expressed interest.
- Multi-ethnic faculty/staff panel on the American experience
4. Training: Robbie Greenlee and Madelyn Wessel are interested in team-teaching a class on the role of the MIC representative on a search committee.
5. Invitation to Leonard Perry: Madelyn suggested that we invite deans of the Office of Student Life for an information-sharing session. Lunch might be included. 4. New employee lunch program: Winston reported that all new employees, with the exception of one recently hired, received a luncheon as part of the library-wide orientation in the summer. He’ll start up the MIC lunch program with one employee hired since then and any others who come on board.
5. Calls for volunteers: Leland asked for 2 volunteers to attend the UVa. Diversity Career Fair on Nov. 2 at the John Paul Jones Arena. There was brief discussion as to the purpose of the fair and the perceived benefits of attendance by MIC members. Leland will check on the parking situation.
Leland will issue a call for new members and a call for training and event ideas from library staff.
6. Hiring: Leland reported on possible candidate interviews that would require MIC participation this semester. They include Reference & Instruction Technology Librarian, Head of DRIS, and Serials Librarian.
7. Membership: Leland reviewed the membership policy. Members serve 3 years, then are eligible for a 3-year renewal before they must take at least one year off. Matt Ball will take over as Chair at the end of the current budget year.

April 5, 2006
Minutes
Present: Matt Ball, Winston Barham, Brenda Bikos, Kay Buchanan, Leland Deeds (chair), Liz Gushee, Laura Miller, Al Napier (ex-officio), Mary Prendergast (secretary), Kathy Soule, Erin Stalberg, Lori Wright
1. Roberto Ibarra event on Context Diversity: The first day consisted of a formal presentation using PowerPoint, defining terms and primarily in a lecture format. The approach for the second day was more informal and interactive, though it covered some of the same material for the benefit of those who hadn’t attended the earlier session. MIC attendees found the information useful.
2. Tanglefoot concert April 27: The multicultural tie-in is the group’s Canadian roots and their emphasis on that heritage in their songwriting. Matt volunteered to handle internal publicity and Charlotte’s group will help with external publicity. Al suggested switching rooms to the Marriott, which is favored by Library administration. Brenda suggested posting on the Multicultural Events Calendar that Suzanne Lewis manages, and Laura suggested Fred Boyce at the Prism might advertise the event. Mary will follow up on these suggestions.
3. New MIC reporting line: With the departure of Yolanda Cooper, MIC now reports to Madelyn Wessel. She will be invited to the next meeting to be introduced and talk about some upcoming initiatives.
4. Officers for 06/07: Leland has graciously agreed to remain on for another year as Chair, with Matt stepping up as Chair-Elect. Mary and Bess will both continue in their respective roles as Secretary and Webmaster.
5. Enhanced hiring for diversity training for all MIC: Madelyn would like MIC to attend a session with Robbie Greenlee from EOP that would focus on diversity as it applies to searches and hiring. Erin suggested tailoring the presentation to questions that members have about the hiring process and MIC’s role in it. MIC has a representative on all faculty searches, but the general consensus of the committee is that the role of that person has not been clarified sufficiently, nor has is ever been assessed.
6. Tea ceremony: The tea ceremony planned for May might be postponed until the start of the fall term. The officiant has not yet been selected, and a new venue needs to be chosen, as we’ve learned that the Gardens will not work well for this event.
7. New Employee Lunch program: Winston gave an overview of the program, which has introduced new hires to at least one MIC member and another library staff member in a different area. No new hires have been reported; the team is ready to respond should any be announced.
8. 05/06 and 06/07 budget: The current FY budget has been all-but-expended on a series of well-received events. A minor shortfall to cover any other loose ends has been approved by Madelyn. The 06/07 budget has been submitted and, barring unforeseen circumstances, we expect to have adequate funding for the events proposed thus far.
9. Open floor: A call for new members and for ideas for events or training will be issued by Leland soon.

Suzanne gave an overview of the mission and work of the Center, which is a unit of the International Studies Office. The Center aims to provide opportunities for intercultural exchange between international and domestic students, scholars, faulty, family, and local residents. The Center represents students form nearly 100 countries and also serves as a resource for the ca. 1000 U.Va. students per year who take part in study abroad programs.
Programs include: the International Speaker’s Bureau, which gives international students a chance to share aspects of their culture with various community groups; International Host Programs, whereby community members can extend hospitality to international students, scholars and their families; and English-language support through conversation groups, a book discussion group, current affairs and access to the Rosetts Stone self-teaching program.
The Center’s Multicultural Library is open to all members of the University and surrounding community, and has an online catalog, available at: www.virginia.edu/iso/ic/mclibrary/index.html. A new Multicultural Events Calendar is in development, meant as a clearinghouse for information on local events or programs of potential interest to the Center’s users.
2. Dr. William Harvey’s lecture update
Leland acknowledged Colette for her work on coordinating the Dr. Harvey’s lecture on “Issues of Race at Predominantly White Institutions”, which will be held today at 2 p.m. Yolanda Cooper will introduce the speaker. The event has been widely publicized by the Library and the University news office, with publicity reaching as far as Richmond.
3. New MIC bookmark
Matt Ball distributed packets of the new MIC bookmarks, designed by the Publicity Subcommittee. These are intended for display at public service desks in all locations, and could be included in new books on display in some locations.
4. MIC budget reminder
Leland asks that amounts for any proposed budget items be submitted to him by March 1.
5. Tony Burroughs event update
Leland acknowledged Heidi Dodson’s ongoing work on the lecture and workshop by genealogist Tony Burroughs, scheduled for Feb. 16. The contract has been approved; additional co-sponsorship is still being solicited. The first episode of the four-part PBS series African American Lives, in two segments of which Burroughs is featured, began airing on Feb. 1 and runs through Feb. 8.
6. Open Floor
The Tanglefoot concert for April 27 is on track, with bookings and contracts for the band and sound engineer completed.
Two faculty positions are being advertised, though interviews are not yet scheduled. MIC members will be asked to attend a session with each of the candidates.
Funding for advertising was discussed, and various members volunteered to investigate options for free and for-fee publicity.

Anne Causey stated the need for MIC members to respond by e-mail (immediately) when an early event doesn't fit your schedule and thus allowing members to participate. Also, dates need to be set for an event so that people will know if they can participate at the time.
African American/Black History Month (February) events need to be set (now) early for the 2003-2004 Academic Year.
The Food Event scheduled for May was cancelled. The time of year may have been the key problem as various Libraries wrapped up the Spring semester. Future Food Event(s) are a possibility spotlighting 1,2 ,or 3 different Libraries within leisurely walking distance. Rotating semesters for food events would allow time for planning to bring food contributions that reflect the cuisine of a culture. OPEN
The meeting continued with the Election of Officers for MIC, 2003-2004 Academic Year. Nominations were made as follows:
- Chair as Co-Chairs:
Severyn Hanusz Nominated by Colette, seconded by Anne

Items discussed:
- Minority Career Day. This event will take place October 28th at the Omni. The library will have a booth/table. Al, Marie, Vicki, April and Severyn will represent library at event. From the participants at the event we hope to get a list of candidates for future openings/career with the library. Next year library hopes to be able to offer an internship program to prospective job candidates. Possible MIC project: put together a library recruitment video. If feasible start working on this soon.
- 10-minute presentation at the New Employee Orientation on Wednesday, October 29, in Clemons 407 to be done by MIC. Either April or Severyn or both to give presentation
- Bus trip to Washington D.C.: Date set: Spring Break Day 2004. Erika to research bus availability, cost etc. Rest of members to be thinking/gathering information on possible destinations/activities etc. Suggestions so far include the Holocaust Museum, the spy museum. Structure of event is to have two planned destinations/activities and then some ‘on your own time’
- Martin Prechtel event. MIC to fund $500 towards bringing in this speaker. $1000 from Suzanne’s funds. April contacted John Alexander. The event is a go, and Prechtel will be able to come to the library for an hour long presentation.
- February 2004 Focus to be on 50 year anniversary of Brown vs. Board of education. Vicki, Leland, Erin, Al, Heidi, Erika to help in the organizing of this event. Incorporate items from Special Collections etc. Contact law faculty to see if interest in helping with info or as speaker etc. Dates and details will be firmed up soon.
- Video collection. Members of MIC to compile list of MIC related movies. Erika to circulate list of titles etc for members to choose from, comment on. Members to offer other suggestions etc. Erika to check on copyright issues and see if approved for public performance. Goal is to end up with a list of MIC approved videos for showing at future/upcoming events or at specific times of year etc. Great for showing in Clemons or in Memorial Hall.
- MIC Website. Rich, Erin, and Suzanne to help April keep website updated and current. Website to focus on upcoming events. Possible project for MIC (need to get cooperation/ help from the library as a whole) is to have a spotlight section highlighting ‘this day in history’ with a tidbit of info each day. Tie this in to our collection and have a list of relevant UVA owned resources (books, videos, events etc) Make this a great educational site that people will check out each day.
- MIC to offer suggestions and/or possibly get involved with space planning for 4th floor of Alderman. Ideas to incorporate: Large screen flat tv for showing videos etc. (could be used by whole library, special collections etc and for special occasions: parents weekend etc etc.) display cases etc.

Topics and Reviews
- Minority Career Day at the Omni (October 28th):
The video about the Library was well received, viewed by many. Al collected business cards and resumes so that people can be contacted as positions open in the Library system. This would give people the opportunity to apply for positions that come open.
For future information tables, as a suggestion, the Library should consider providing promotional items such as pencils or key chains displaying the Library logo.
Also, it is hoped that the Library would eventually establish an apprenticeship program whereby if a Library employee is interested in completing an MLS, MIS or Masters equivalent, the Library would send them to school in return for a commitment to work 2 years after completing the program. Details to be worked out as the program begins to evolve.
- Brown Verses the Board of Education
February 2004 through the first week of March. Student presentations, video footage, and an exhibit at the Law Library are just a few of the events that will be presented during this time. Also, a brochure was suggested listing the items that each Library has in their collection regarding this landmark decision.
- Martin Pretchel (in coordination with University wide Diversity Committee)
Author of the “Secrets of the Talking Jaguar”
Mr. Pretchel, a well know Story teller, will be at UVA on March 22 and 23. MIC is planning to have him here in the Library for a 1-hour session, March 22 in the McGregor Room from 3:00 – 4:00 p.m. Library and MIC to provide a percentage of sponsorship for Mr. Pretchel's visit. - Bus trip to Washington D.C., Friday, March 12
Looking for 47 people to reserve their Spring Break day for a day trip to Washington D.C. The Holocaust Museum, the Spy Museum, Library of Congress and Moreland …are possibilities to tour that day. Cost estimate is $10 per person. It is hoped that this event will be announced at a future (soon) Library Town Meeting.
- DVD/VIDEOS for future multicultural series
Copyright investigation is in process so that a compiled list can be made available for future series use.
- Reception for Yolanda Cooper (New AUL for Organizational Development)
Beginning stages to have a reception for Yolanda during January’s MIC meeting. It was mentioned that we would invite past members of MIC as well.
- Open House
Lorna Sundberg International Center Library, Thursday, November 20 from 2-5 p.m. A recommendation was made for everyone to meet in Memorial Hall of Alderman Library then walk over to the Center together.
- MIC brown bag lunch/discussion
The next discussion meeting is scheduled for Monday, December 15 at 12 noon in Clemons 407.
- Next MIC meeting
Monday, December 8 from 1:30 - 3:00 p.m. in Clemons 321.
- MIC dinner
TBA. A potluck in a private home?
- MIC Website
Currently being maintained by April, Erin and Rich

Carlos Eire

- Date: August 25, 2004. The target audience for this event is the Library staff.
- Eire will also be speaking at the Miller Center on August 24th. This event is open to the public.
- We will aim for a 2:00 event with book-signing after.
- The Committee discussed options for where to hold the event. We would optimally like the lecture and book-signing to be all in one place and be centered in a University Library facility. First choice is SEL; second choice is the Fine Arts Library. Heidi will check on availability of SEL [Update: SEL would be happy to host the event].
- Doug will contact the Provost's Office and the Office of the Latin American Dean to help with publicity for the event.
- April reported that Communications is willing to take over MIC publicity. All materials need to be to Charlotte with at least one month lead time. Obviously, the more lead time, the better.

Leonard Robinson, Jr.
- Sara Lee Barnes reported that Leonard Robinson, Jr., President and CEO of The Africa Society of The National Summit on Africa, will be given office space in the Harrison Institute. ( http://www.africasummit.org/about/robinsonbio.html )

R.K. Ramazani
- Dr. Ramazani is a retired faculty member and is working on a new book. He is locally very popular and this event could draw a sizable crowd.
- The new Special Collections auditorium would be a nice location to consider. Sara Lee will check on availability.
- Date suggestion: November 17th at 7:00. --Leland will follow-up with the speaker.
Gelsy Verna
- Date: October 21, 2004 @ 3:00

- To assist in planning for smaller activities.
- For use on publication materials, bookmarks, displays.
- Leland will email the full group and send out an example from other universities.
Project group for print materials
- Leland would like a subcommittee of 3 people to review our print materials, primarily our brochure & possibly educational posters.
- To investigate cost & logistics.
- Leland will email the full group and send out examples.
Listserv & committee account
- The old brochure looks like we have a MIC account, but Leland believes it was just an alias for Anne Causey.
- Leland would like an MIC account for which ownership will pass from Chair-to-Chair. Leland will pursue.
- Erin also suggested a Library diversity listserv to announce events around the community, discussions of interest, a place to solicit volunteers, etc. We could then draw on the support of past MIC members, the staff who attend Suzanne's brown bags, and anyone else how would be interested.
New employee lunch
- MIC volunteers will take new hires to lunch.
- Open to all new hired employees.
Co-sponsoring of Rolena Adorno visit (Leland)
- The MIC has been asked to co-sponsor a lecture on October 15 with the Department of Spanish & Portuguese, and many others.
- Title: “19 th Century Origins of Hispanism in the United States and its Legacies.”
- They have asked us to help with publicity or for the $200 room charge for the Harrison/Small Auditorium. Yolanda will see if we can get the room free since, if we decide to co-sponsor, it would be a Library event. Leland already talked to Ellie Goodman but Yolanda will follow-up.
Discussion regarding the Amey Adkins incident
- April provided links to information about hate crimes in higher education and worried that people don't really know what hate crimes are. The group discussed these events and the UVa response.

November 9 , 2004
Ramanzani, 11/17 update
- Ramanzani cancelled this event due to a conflict in his schedule.
Erin will remove the promo from the MIC website.
Tanglefoot, ~12/6
- Leland proposed we bring in the musical group: http://www.tanglefootmusic.com/
- The group agreed with the idea and Leland will work on arrangements.
- [Note: after the meeting, it was determined that a proper room could not be secured on such short notice. The MIC then decided to sponsor Claudia Ford for a lecture and reading from her book: Why : do I scream at God for the rape of babies. April will work on the details.]?
Nick Patler (Feb) update
- Reading and booksigning from his new work: Jim Crow and the Wilson administration : protesting federal segregation in the early twentieth century.
- CSPAN-TV is interested in broadcasting the event.
- Leland is working on details (there will possibly be a panel of speakers).
Fullwood (3/25-3/26) update
- Archivist at the Black Gay and Lesbian Archive Project at the Schomburg Center for Research in Black Culture
- Leland has secured the Kaleidoscope Diversity Center in Newcomb.
Budget update
- Flyers were $250 for the Carlos Eire event, food was $600. Leland will check to make sure that Gelsey Verna was reimbursed.
Career Day report
- Leland, Kathy, Marie, and Erin staffed a booth for Career Day at the Omni.
- Marie (who was the only one who had done this previously), reported that there seemed to be more traffic this year, but otherwise it is difficult since we can’t actively recruit and interview at the Fair.
- The standard display is too student-focused. We should modify it to show staff activities.
Event ideas for April
- Poetry (April)
- Geneology (Heidi)
- Should we do the bus trip again? Idea: to the American Indian Museum.
Budget changes & new member dates
- The overall budget submission calendar has changed. Leland will touch base with Yolanda about what that means for the MIC.
- Communications doesn’t really have time to do publicity for us. Last year, we were not budgeted $$ for flyers, because the Library Allocations Committee believed that should come out of the Communications budget. But, if Communications is too understaffed and we are doing our own flyers, we need to make sure we get money to cover those costs in next fiscal year.
- Leland is concerned about the new member cycle and wants to ensure that the MIC officers are not changing in the midst of the budget request cycle.
- Erin believes that the MIC webmaster should be an ex-officio position to guarantee continuity for the website. The last MIC website died because officers rotate so frequently. The website got lost in the transition.
- We have committee members who are frequently absent from the monthly meetings.
- Leland suggests we re-write our by-laws to address these issues.
Subgroups
- The subgroups -- print materials & calendar (educational moments) – are meeting.
Open Floor
- Erin reported that 35 people so far have joined our new lib-diversity listserv. Leland will send out a welcome message.

Vote on a new member
- Sean Mays left UVa, resigning his MIC position, and Matt Ball, Outreach Librarian at Clemons Library is interested in replacing him. The group voted to appoint him and Leland will invite him to the next meeting.
Budget update
- We are not quite 50% through the budget. Leland has been working with Milly to correct PTEO issues. If you have outstanding receipts, contact Leland.
Update on the Nick Patler event for Feb
- Leland booked Harrison/Small for Wednesday, February 23 rd for the lecture/booksigning. Patler also suggested we get Peggy Trotter, the granddaughter of the subject of his book & freedom rider during the 60's. Unfortunately, she can only do a Saturday event. The MIC decided not to go with a Saturday, due to potential problems with attendance, and rather stay with the original date. Patler also would like us to invite CSPAN Book-TV. Leland will pursue with Madelyn Wessel and others.
Possible situational diversity training
- Yolanda is interested in bringing in the Cornell Interactive Theatre Ensemble. Leland distributed information on them and the group discussed this possibility. Everyone agreed this program looked very interesting and should be pursued.
- $$ would come out of Yolanda's budget or in cooperation with the MIC.
- Anne recommends Anna Deavere Smith, who is on the faculty at Harvard. Smith also does a theatre diversity experience. Anne will investigate costs.
Other outstanding event ideas
- Film series relating to themes of diversity. Anne will e-mail the group a list of film titles; send any comments or additions.
- Panel of Muslim students speaking about their experiences at UVa. Anne will pursue.
- Reschedule professor Ramazani possibly for April.
- We were hoping for Tanglefoot for May, but getting an adequate room may still prove too difficult. Maybe a future programming idea.
- Genealogy (Heidi) – possibly bring is several speakers, on African American genealogical research, Native American, etc. If we brought in speakers from local organizations (ie. the local chapter of the NAACP), this could also serve to highlight research resources available locally (Albemarle Historical Society, Library of Virginia, etc.)
- Gregorio Pedroza, bilingual storyteller (Spanish/English). Recommended by George Crafts. It was suggested that we bring him in for National Hispanic Heritage Month in September, but we probably need to act fast. Looking to be about $4,000; we can probably get co-sponsorship.
- Panel with individuals involved with last semesters' “zero tolerance” initiative after Amey Atkin's incident. Leland will pursue for a February/early March date.
- 3 rd Annual South Asian film festival – looking for co-sponsorship (i.e. money). Maybe we could pick up public performance rights for showing the films, @$400-500. Leland will check to see if we own these films at the RMC.
Volunteers for new employee lunch project
- Planning day initiative. When new employees start, members of the committee will take them to lunch. It was also suggested that we make this part of the New Employee Orientation and have lunch after, either catered or out.
- Al reported that we hired 31 new faculty/staff last year.
- Leland will discuss the new employee lunch idea with Marie and Suzanne to figure out the best forum and get some names and numbers for the next new employee orientation.
Diversity and local resources sub-group.
- Heidi will spearhead.
